FIG 04 · Checklist
What’s included in Google Business Profile management
Every engagement starts from a written checklist. The cadence is agreed in your written scope, by location.
| Task | How often | Why it matters |
|---|---|---|
| Primary and secondary categories | At setup, then reviewed each quarter | Categories shape which searches you can appear for |
| Services, products and attributes | At setup, then when your offer changes | Complete profiles answer questions before people call |
| Hours and holiday hours | Before every holiday and change | Wrong hours cost visits and earn bad reviews |
| Photos and videos | To an agreed monthly plan | Real, recent photos build trust on Maps |
| Posts and offers | To an agreed weekly or monthly plan | Shows the business is active and promotes what’s new |
| Review replies | Every review, on an agreed schedule | 89% of consumers expect owners to respond (BrightLocal 2026) |
| Q&A and suggested edits | Monitored continuously, handled on an agreed schedule | Stops wrong answers and unwanted edits going live |
| Performance report | Monthly | Calls, direction requests and website clicks, tracked over time |
We manage only your own verified profile at your real business address or service area. We never create listings at virtual offices.

FIG 07 · Reviews
Reviews: replies, requests and policy
BrightLocal’s 2026 survey found 41% of consumers “always” read reviews when browsing for businesses. We grow your reviews the way Google allows.
05principles
Reply to every review
Thank happy customers, answer criticism calmly and take problems offline. 89% of consumers expect owners to respond (BrightLocal 2026).
Ask every customer
Simple review links by email, SMS or receipt, sent to all customers. Google’s policy forbids selectively asking only happy ones.
No incentives
Google’s content policy says businesses may not offer payment, discounts or free goods for reviews. We never do, and we tell you why.
Flag fake reviews
Reviews that break Google’s policy are reported through the proper channels, with a record of what was flagged and when.
Requests from your CRM
Review requests sent automatically after a completed job or visit, from Zoho, HubSpot or your booking system.
Zoho consulting
FIG 08 · Locations
Multi-location and service-area businesses
Google’s guidelines are clear, and following them keeps your profiles safe. We manage profiles for real locations only.
04principles
One profile per business
Google says there should only be one profile per business, per location. We merge or remove duplicates instead of adding more.
Service-area businesses
If you serve customers at their address, Google says you should hide your business address. We set the service area instead.
Real business names
Google says including unnecessary information in your business name isn’t permitted. No keywords or cities stuffed into names.
Chains and franchises
Groups of locations managed together, with consistent details and local content for each, for dental groups, law firms and home services.
FIG 09 · Fixes
Suspensions, duplicates and spam edits
Burned by a previous provider’s shortcuts? We clean up and work with Google through its official routes.
04principles
Suspension help
We find what broke the rules, fix it and help you file a reinstatement request with the evidence Google asks for. Google decides the outcome.
Duplicate listings
Duplicate and outdated profiles found and handled through Google’s own tools and support.
Spam edits
Unwanted edits to your hours, phone or categories caught and reverted, and spam competitor listings reported.
Access clean-up
Owners and managers reviewed, old agency access removed, and you kept as the primary owner.
FIG 10 · Go further
Local search, by industry and city
Your profile works hardest alongside a strong website and local SEO. These pages go deeper for your sector and market.

FIG 11 · Measurement
Reporting: what we track each month
A short monthly report from Business Profile performance data and your own analytics, with what we did and what we’ll do next.
| Metric | What it tells you | Where it comes from |
|---|---|---|
| Calls | How many people called from your profile | Business Profile performance |
| Direction requests | How many people planned a visit | Business Profile performance |
| Website clicks | How many people went on to your site | Business Profile performance and UTM-tagged links in GA4 |
| Search queries | The searches that showed your profile | Business Profile performance |
| Reviews | New reviews, average rating and reply rate | Your profile, tracked month by month |
| Profile health | Edits, photo views and completeness | Monthly profile audit |
We don’t promise rankings. Google says local results depend on relevance, distance and prominence, and distance is outside anyone’s control.

Review requests: what Google allows
From Google’s Business Profile guidelines and Google Maps’ user-contributed content policy. Breaking these risks removed reviews or a suspended profile.
| Practice | Allowed? | What Google says |
|---|---|---|
| Asking every customer for a review | Yes | Asking is fine, as long as you don’t pick who to ask |
| Asking only happy customers | No | Merchants may not “selectively solicit positive reviews from customers” |
| Offering a discount or gift for a review | No | Merchants may not offer incentives such as payment, discounts or free goods |
| Discouraging negative reviews | No | Merchants may not “discourage or prohibit negative reviews” |
| Replying to every review | Yes | Replies are public and show you listen |
| Keywords in the business name | No | “Including unnecessary information in your business name isn’t permitted” |
