Xero vs QuickBooks vs Sage in 2026: a dated comparison for UK and US businesses

A dated three-way comparison with every price linked to the vendor: UK plans in GBP, US plans in USD, Making Tax Digital readiness, payroll by country, and the 2026 API pricing changes that affect anyone integrating Xero or QuickBooks.

TL;DR

Key takeaways

  1. 01Xero suits businesses that want no per-user licence fees and a 1,000+ app marketplace; QuickBooks Online suits US firms that want payroll bundles and plans from 1 to 25 users; Sage Accounting suits UK businesses that want straightforward HMRC-recognised bookkeeping.
  2. 02Xero UK runs from £18 (Ignite) to £70 (Ultimate) a month ex VAT, plus a £7 Simple plan that cannot file VAT returns. QuickBooks US runs from $38 to $340 a month (read 23 Oct 2026, before promotions).
  3. 03MTD for Income Tax applies to qualifying income over £50,000 from 6 April 2026, over £30,000 from 6 April 2027 and over £20,000 from 6 April 2028.
  4. 04Integration costs changed in 2026: Xero's paid app tiers took effect on 2 March 2026, and Intuit meters CorePlus (data-out) API calls while Core (data-in) calls stay unmetered.
  5. 05Price the plan you'll actually need at month 12, after promotions end, including payroll and the number of people who need access.

Xero suits growing UK and US businesses that want no per-user licence fees and a large app marketplace. QuickBooks Online suits US firms that want payroll bundles and plans from one to 25 users. Sage Accounting suits UK businesses that want straightforward, HMRC-recognised bookkeeping. All three support Making Tax Digital; prices were checked on 23 October 2026.

Most comparisons of these three tools quote prices from 2024, when Xero's US Growing plan was far cheaper than it is today, and few of them separate UK and US buyers. This guide does. UK prices are in pounds excluding VAT, US prices in dollars, and each one links to the vendor page it was read from. Introductory discounts are noted but not used in the comparisons, because you will pay list price from month four or seven onwards. We integrate all three platforms for clients; we don't resell any of them and hold no partner status with Xero, Intuit or Sage.

What do Xero, QuickBooks and Sage cost in the UK?

Xero UK (GBP per month, ex VAT, list price):

PlanPriceNotes
Simple£7"For non-VAT registered businesses"; no VAT returns or payroll
Ignite£18Payroll at £1.50 per person
Grow£39More bills and reporting
Comprehensive£55More payroll capacity and forecasting
Ultimate£70The highest limits

Xero was advertising 90% off for six months when we checked. Every Xero plan above Simple is listed as "MTD for Income Tax ready". The Simple plan page is clear that it is for non-VAT-registered businesses, so a business that registers for VAT has to move up a plan.

QuickBooks Online UK offers Sole Trader Plus, Simple Start, Essentials, Plus and Advanced, for 1, 1, 3, 5 and 25 users respectively, and its feature list says "MTD for Income Tax ready". The UK pricing page loads its pound prices live, and they did not load when we read it, so we don't quote them. Check the page in your browser on the day you buy.

Sage Accounting UK has three plans, Start, Standard and Plus. Wise's comparison (updated 22 October 2026) describes Start as aimed at sole traders and small businesses starting out, Standard at businesses working with suppliers, the Construction Industry Scheme or accrual accounting, and Plus at businesses managing inventory or multiple currencies. Sage's own site blocked our automated check, so confirm current prices on sage.com before you compare.

What do Xero and QuickBooks cost in the US?

Plan (USD per month, list price, read 23 Oct 2026)PriceUsers
Xero Early$27No per-user licence fees
Xero Growing$59No per-user licence fees
Xero Established$97No per-user licence fees
QuickBooks Simple Start$381
QuickBooks Essentials$853
QuickBooks Plus$1405
QuickBooks Advanced$34025

QuickBooks was offering 50% off for three months when we checked; Xero's plan limits differ by tier, so compare features as well as price. The user caps change the maths more than the headline price does.

Illustrative example (list prices, not a quote): a US company where four people need access to the books and five employees are paid each month.

Xero Growing + Gusto payrollQuickBooks Plus + entry payroll bundle
Accounting plan$59$140 (Essentials allows only 3 users)
Payroll$36 + 5 × $6 = $66$88 + 5 × $6.50 = $120.50
Total per month$125$260.50

This is a worked example built only from the vendors' published list prices. It ignores promotions, taxes and feature differences. If Xero Growing's transaction or feature limits don't fit your business, you would compare Established instead. Run the same sum with your own user count and headcount.

Which is ready for Making Tax Digital?

Making Tax Digital (MTD) is HMRC's requirement to keep digital records and file through compatible software.

RuleWhat it meansSource
MTD for VAT"All VAT-registered businesses should now be signed up."GOV.UK
MTD for Income Tax, from 6 April 2026Sole traders and landlords with qualifying income over £50,000GOV.UK (updated 26 Mar 2026)
From 6 April 2027Threshold falls to £30,000As above
From 6 April 2028Threshold falls to £20,000As above
Quarterly update deadlines7 August, 7 November, 7 February and 7 MayGOV.UK (updated 16 Oct 2026)

All three products position themselves for MTD: Xero and QuickBooks UK say "MTD for Income Tax ready", and Wise describes Sage as HMRC-recognised for MTD. HMRC now publishes a software finder tool rather than a static list, so check your exact plan in HMRC's finder before you sign up. Two traps to watch: Xero Simple can't file VAT returns, and a sole trader who crosses a threshold needs a plan that supports quarterly updates, not just year-end accounts.

How does payroll compare in the UK and the US?

In the UK, Xero includes payroll on its plans, charged at £1.50 per person on Ignite, with more capacity on higher plans. QuickBooks UK sells payroll as add-ons named Payroll Core, Payroll Premium and Payroll Elite; their prices didn't load when we read the page. Wise reports that Sage Accounting plans include payroll for a small number of employees, with extra employees charged separately.

In the US, Xero's payroll is "powered by Gusto" at $36 a month plus $6 per person. QuickBooks Payroll bundles start at $88 a month plus $6.50 per employee. If you already run payroll through a separate provider, compare accounting plans on their own and plan for a payroll integration instead.

What do integrations and APIs cost in 2026?

This is the part most comparisons skip, and it matters if you sell an app that connects to these platforms or build your own integration.

Xero says you can "Integrate with 1000+ apps" through its app marketplace. For developers, its pricing page introduced app tiers that took effect on 2 March 2026:

Xero app tier (prices in AUD, ex tax)ConnectionsMonthly egress allowanceMonthly fee
Starter5n/a (1,000 calls per org per day)No charge
Core5010 GBA$35
Plus1,00050 GBA$245
Advanced10,000250 GBA$1,445
EnterpriseNo limitOn applicationOn application

Egress above the allowance is A$2.40 per GB on Core, Plus and Advanced. Xero's API limits page lists a concurrent limit of 5 calls in progress, 60 calls a minute and 5,000 calls a day per organisation, while the Starter tier is capped at 1,000 calls a day, so check the limits for your tier.

QuickBooks runs the Intuit App Partner Program. Its programme guide splits calls into Core and CorePlus: "Core API calls cover most data-in operations such as creating or updating invoices", and are unmetered and uncharged, while CorePlus calls "cover most data-out operations such as reading accounts, querying company information, and fetching reports" and are metered. The free Builder tier includes 500,000 CorePlus credits a month; paid tiers add credits and a rate card.

Sage publishes developer APIs too, but we couldn't verify its current limits, so check Sage's developer documentation for your product.

What this means in practice: write-heavy integrations (pushing orders and invoices in) are cheap on QuickBooks, while read-heavy ones (dashboards, reporting, syncing everything out) need caching, webhooks and incremental sync to stay within allowances on both platforms. Our accounting software integration team designs for these limits, with retries and back-off on HTTP 429 responses.

What costs do the headline prices leave out?

The monthly plan price is rarely the whole bill. Before you compare, add these lines for each option:

  • The end of the promotion. Introductory discounts end after a few months; budget at list price.
  • VAT on UK subscriptions. UK prices above exclude VAT, which a VAT-registered business can usually reclaim and a non-registered one can't.
  • Payroll per person, which grows with every hire, and any pension or auto-enrolment add-ons.
  • Connected apps. Each app for expenses, inventory, ecommerce or reporting has its own subscription, and some app vendors may pass on the platforms' new API charges.
  • Moving up a plan when you pass a limit on users, invoices, bills or payroll capacity.
  • Your accountant's time for set-up, migration and training, and any custom integration work.

A plan that looks £10 or $20 cheaper can cost more once two apps and a payroll run are added, so compare the total for your business at month 12.

How hard is it to switch from Sage or QuickBooks to Xero?

Switching is routine, but plan it like a small project:

  1. Pick a conversion date, ideally a financial year-end or the end of a VAT quarter, so the opening position is clean.
  2. Export the essentials: chart of accounts, contacts, open invoices and bills, fixed assets and a trial balance for opening balances.
  3. Decide how much history to move. Many businesses bring balances and open items only, and keep the old system read-only for records.
  4. Reconnect bank feeds, payroll and apps, and re-map any integrations, because IDs change between platforms.
  5. Run one VAT period in parallel if you can, and reconcile before you file.

Moving the other way, from Xero to QuickBooks or Sage, follows the same steps. Integrations are usually the slowest part, which is where a written mapping of every field pays off.

Which should you choose?

If you are…Lean towards
A UK business with several people in the books and many connected appsXero
A UK sole trader or landlord who isn't VAT-registeredXero Simple, or a QuickBooks sole trader plan
A UK small business wanting straightforward bookkeeping and VATSage Accounting or Xero; compare current prices
A US business wanting accounting and payroll from one vendorQuickBooks Online
A US business with more users than QuickBooks Essentials allowsXero (no per-user fees) or QuickBooks Plus
Operating in both the UK and the USXero or QuickBooks, which both sell in both markets
Building an app that reads a lot of accounting dataModel API costs on Xero tiers and Intuit CorePlus before you choose

What about India: Tally or Zoho Books?

Indian businesses usually compare TallyPrime and Zoho Books rather than these three, because GST and e-invoicing drive the decision. TallyPrime supports integrations through TDL, XML and JSON over HTTP; its integration guide notes that TDL can "call external APIs or use ODBC/XML to push/pull data". If you are growing beyond a single accounting tool, an ERP may fit better: see Odoo development and our comparison of Odoo vs NetSuite.
