FIG 02 · Quick answer

What does accounting software integration involve?

Elgrith builds accounting software integrations that connect QuickBooks, Xero, Sage, Tally and Zoho Books to your store, CRM, ERP and apps. We design for each platform’s API limits and 2026 pricing tiers, map your chart of accounts, reconcile every sync, and support compliance flows such as UK Making Tax Digital and India’s GST e-invoicing.

FIG 03 · Why it matters

Accounting APIs got stricter, and pricier, in 2026.

From Xero Developer and GOV.UK, read on 23 Oct 2026.

FIG 04 · Rules and dates

Compliance built in

Tax rules decide what your integration must record, and when. These are the dated rules we design around, so the sync produces data your accountant can file from.

FIG 05 · What you get

Accounting software integration services

Accounting software integration connects the systems where money moves (your store, CRM, payments, payroll and custom apps) to the ledger, so invoices, payments and journals arrive once, in the right accounts, without re-keying.

Two stacks of paper linked by a blue thread in front of a laptop table: syncing two systems
Accounting Software Integration · built in-house

01

Ecommerce to ledger

Orders, refunds, fees and payouts from your store posted as invoices, payments and journals, not one lump sum.

02

CRM to invoicing

Won deals and subscriptions turned into invoices, with payment status flowing back to the CRM.

03

Payments and payouts

Payment-provider payouts split into sales, fees and refunds, then matched to the bank feed.

04

Payroll journals

Payroll runs posted as summarised journals to the right cost centres.

05

ERP and multi-entity

Subsidiaries on QuickBooks or Xero rolled up into a group ERP or consolidation.

06

One-way or two-way sync

One system of record per field, decided up front, so two systems never fight over the same data.

07

Chart-of-accounts mapping

Products, tax codes, tracking categories and classes mapped with your accountant before the first sync.

08

Reconciliation and alerts

Every sync logged, totals reconciled daily, and failures sent to a person, not a silent log.

FIG 06 · Platforms

The accounting platforms we integrate

Each platform has its own API, limits and pricing. We design the integration around them, so it keeps running as volume grows.

    Watch

FIG 07 · QuickBooks

QuickBooks integration services

QuickBooks Online and QuickBooks Desktop integrate in completely different ways. Online uses a cloud REST API; Desktop needs the Web Connector on the machine where QuickBooks runs.

06principles

  • QuickBooks Online

REST API with OAuth 2.0 and refresh tokens, webhooks for change events, and batch requests to keep call counts down.

  • QuickBooks Desktop

Web Connector integrations, scheduled around when the QuickBooks machine is on, or a planned move to Online.

  • Intuit App Partner Program

Intuit classifies calls as Core (mostly data-in, not metered) or CorePlus (mostly data-out, metered by tier). We design syncs that read less.

  • Idempotent writes

Every invoice and payment carries a reference, so a retried sync never posts a duplicate.

  • Classes and locations

Classes, locations and tax codes mapped so reports in QuickBooks still make sense.

  • Migrations to QuickBooks

Data moved from Sage, Tally or spreadsheets, with opening balances reconciled.

FIG 08 · Xero

Xero integration

Xero moved apps onto paid tiers from 2 March 2026 and limits API calls per tenant. A good Xero integration is designed around both from the first line of code.

06principles

  • Rate limits

Xero lists 5 concurrent calls, 60 a minute and 5,000 a day per tenant, varying by tier. We queue, batch and back off on HTTP 429.

  • App tiers and egress

Your expected connections and data volume checked against Xero’s tiers before you build, so the running cost is known.

  • Webhooks

Xero webhooks for contact and invoice changes instead of polling, which saves calls.

  • OAuth 2.0 per tenant

Token refresh and tenant connections handled, with a clear reconnect flow when access lapses.

  • Tracking categories

Departments, regions or projects mapped to Xero tracking categories.

  • MTD-ready records

Synced data complete and categorised for VAT and Income Tax quarterly updates.

FIG 09 · Sage

Sage integration for UK businesses

“Sage” covers several products. We start by confirming which one and which edition you run, because the integration method follows from that.

06principles

  • Sage Accounting

The cloud product, through the Sage Accounting API v3.1 with OAuth 2.0.

  • Sage 50

Desktop accounts integrated with your store, CRM or stock system, with the sync designed around where Sage 50 runs.

  • Sage 200

Mid-market Sage integrated with warehouse, ecommerce and reporting systems.

  • Moving off Sage

Sage data migrated to Xero, QuickBooks, Business Central or Odoo.

    Dynamics 365 consulting
  • VAT and MTD

Records structured so VAT returns and MTD submissions come straight from the ledger.

  • UK English, UK rules

UK spelling, UK VAT codes and UK GDPR-aware data handling.

FIG 10 · India

Tally integration and GST e-invoicing (India)

TallyPrime supports integration through TDL, JSON and XML over HTTP, and ODBC, and TDL can call external APIs (TallyHelp, updated 11 Jun 2026). We use that to keep Tally and your other systems in step.

06principles

  • TallyPrime sync

Sales, purchases, stock and ledgers pushed to or pulled from Tally over XML or JSON.

  • TDL customisation

Tally Definition Language for custom fields, reports and outbound API calls.

  • ODBC reporting

Tally data read over ODBC into dashboards and other systems.

  • GST e-invoicing

E-invoices from Tally or your ERP sent to the IRP, with IRN and QR code written back, inside the 30-day limit for AATO of ₹10 crore or more.

  • Zoho Books integration

Zoho Books connected to your store, CRM and payments through its REST API, with GST fields mapped.

  • Tally to Odoo or ERP

Tally data migrated when you outgrow it.

    Odoo development

FIG 11 · Process · 6 steps

Map the accounts, then sync

A free call, a mapping workshop and a fixed written quote, then builds in a sandbox with weekly demos and reconciliation tests before anything touches your live books. You own the code.

  1. Step 01

    Free call

Tell us which systems hold money data today, which accounting platform you use and what keeps breaking. We ask about volumes, entities, tax rules and who signs off the books.

  2. Step 02

    Assessment

A mapping workshop with your finance team: chart of accounts, tax codes, tracking, system of record per field, and the platform’s API limits and pricing tier for your volumes.

  3. Step 03

    Fixed written quote

A written scope, a fixed quote and the plan for data migration, testing and hand-over, before any work starts.

  4. Step 04

    Sprints with weekly demos

Builds against sandbox or demo companies, with a demo every week and reconciliation tests that compare totals between systems.

  5. Step 05

    Launch

A dated go-live with a backfill plan, monitoring, alerting and a person named for each alert.

  6. Step 06

    Support

Changes, new connections and API updates from QuickBooks, Xero, Sage, Tally or Zoho handled on terms agreed in your written scope.

Connector, iPaaS or custom integration?

Not every sync needs custom code. Start with the simplest option that keeps your books right at your volumes, and move up only when it stops coping.
